A contract will be sent prior to your hire but you may wish to look at an example first.

This protects you and us, there are some common sense items within the contract and some important do's & don'ts!

Example Contract of Hire

​

General contract and if the tent is to be erected by The Hirer

 

Should the equipment not be returned by the end of hire period, a surcharge will be applied of £50 per day.

​

All bookings are subject to our Terms & Conditions as set out below.

​

Please make sure you have enough space at your venue.

The tents are either 4 or 5 metres wide and will require at least an additional 2  metres to allow room for guy lines and pegs.

4 metre tent = total minimum clearance is 8 metres.

5 metre tent = total minimum clearance is 9 metres .

​

The Hirer who makes the booking must be one of the guests who stays.

They must be over 21 years old and is responsible for making sure that the terms of booking are adhered to.

Proof of identity and address will be requested.

We reserve the right to refuse a booking but of course treat everyone equally and fairly.

​

As with any holiday we suggest that you take out your own holiday insurance to cover any losses. Your insurance should cover all risks including: cancellation, accident, breakdown, loss or damage to personal property. 

Country & Garden Tent Hire shall not be held responsible or liable for any loss or damage suffered by you or members of your party.

Country & Garden Tent Hire are insured by SAGIC, Salvation Army Insurance for Public Liability £5 million.

The equipment hired is the property of Country & Garden Tent Hire and will remain their property. 

​

I agree to take full responsibility for all of the equipment that I have hired and will return it clean and where possible dry. 

(Nb. The tent should not be packed into the bag whilst wet, as this will cause mould).

The equipment shall not be passed on and used by a third party.

To the extent permitted by law, The Hirer will be responsible for risk of loss, theft, damage or destruction to the equipment from any and every cause. 

Compensation will be sought by The Owner for the full market value of the equipment.

The Hirer must be satisfied with all the equipment before use and should notify The Company immediately if anything is not working, incorrect deliveries and unacceptable equipment before use. Failure to do so will be the responsibility of The Hirer and not Country & Garden Tent Hire.

​

I have taken delivery of *********(Nb. *will be altered per booking for various equipment eg. one 5 metre Rainbow Canvas Bell Tent) and I am happy that it is in clean good working order. 

(Nb. The tent is heavy, approximately 29kg and should be lifted/moved by at least 2 adults, assistance should be planned and organised to ensure safe manual handling).

​

If a tent is going under trees that will drop any debris then I will agree to use the protective cover.

Included in my delivery are 14 heavy duty pegs, 14 light pegs, a mallet, 1 large doormat, 1 bag for shoes.

(Good tent practice is to leave all shoes at the door, otherwise the groundsheet/flooring will become very dirty).

No smoking, vaping or cooking is permitted inside the tent or within 1 metre.

Open fires should be at least 2.5 metres away to prevent sparks landing on the tent, the tent is not fire retardant.

(Nb. Warning - Carbon Monoxide Kills, do not be tempted to move any open fire or bbq inside the tent even on a chilly night).

Any decorations inside or around the tent will be secured using string or cable ties and not attached using staples or sticky tape.

​

All the guy ropes and pegs will be used to secure the tent and I have been shown instructions on how to erect it.

Side panels will only be rolled up if it is good weather. The tent should be closed when unattended, at night or if there are high winds.

​

All animals shall be supervised at all times and not left alone in the tent. 

​

Any spills will be dealt with as soon as possible using an appropriate cloth and or cleaning product. 

(Please do not use bleach based cleaning solutions as this may cause colour damage).

​

Electrical appliances of any kind should not be left unattended and should be turned off and left to cool on a heatproof surface (not the groundsheet) ie. hair straighteners, irons or similar.

The Hirer shall not light or allow to be lit any fire, candle or other naked flame within or close to the tent. 

The Hirer shall use the equipment only for its proper purpose and in a safe and correct manner.

Any loss, theft or damage must be reported immediately to The Company.

The Hirer is not authorised to repair, alter or add to the equipment without the consent of The Company.

If the tent is to be erected by Country & Garden Tent Hire

I will provide The Company with a plan showing the position required for the equipment or have a representative on site at the time of delivery for this purpose. In the absence of such instruction The Company shall position the equipment in the manner and location deemed appropriate at that time.

Ensure the site is flat, level and firm. The Company has the right to refuse to erect the equipment if the site is unsuitable and no alternative area can be located.

The site should have easy access for the vehicles required to deliver and collect the equipment. In the event that access is not reasonable a surcharge shall be applied to the hire charge.

I will inform The Company of any services, drains, pipes, cables or other obstacles that may affect the site. The Company has no responsibility for damage to pipes, cables and underground services whose location was unknown to them.

If the Hirer requires erected equipment to be moved for any reason, other than the fault of The Company, there will be an additional charge levied.

The Hirer or any third parties, shall not enter the equipment while it is being erected or dismantled.

The Hirer shall not tamper with any structure or any part of the equipment (ie. do not remove pegs and guy ropes, the tent will not be secure).

We make every effort to describe the equipment as accurately as possible and to keep information up-to-date. Details are given in good faith and we cannot accept responsibility or liability for differences or for any disappointment caused where a guest has differing expectations to those detailed in the description.

General Data Protection Regulation: we carry out most communication with you by email or telephone. 

We’ll keep your details on record and never pass information on to other companies. We may occasionally email offers and updates about our business and will ask permission to hold your details, we will remove you from our mailing list if you ask us to.

​

Payment

At the time of booking a £25 (or 25% for multi tent), non refundable deposit of the hire charge will be required.

The balance remaining should to be paid at least 28 days in advance of the hire period. We are happy to take payment by instalments for Payments over £150.

Cancellations

If you cannot go ahead with your booking we will try and amend your booking to another date within the same booking season.

If you have to cancel, the following charges will be made:

  0 – 13 days before hire start date 100% 
14 – 27 days before hire start date 50%
28 – 42 days or more before start date, we will refund any monies paid minus a £25 administration fee.

In the unlikely event that Country & Garden Tent Hire has to cancel or change your booking, we will offer you the choice of a full refund of all monies paid to us or the option of rebooking within the same booking season. No compensation is available.

The Company shall make every effort to complete the erection of the equipment on or before the set date shown on the booking form, provided that the Hirer has complied with the obligations shown above. If the equipment is not erected on or before the set up date shown on the booking form The Hirer shall have the right to withdraw, and The Company shall return all monies paid. 

If the equipment is not erected because of delays due to weather or other circumstances beyond its reasonable control, The Company shall not be liable to pay further compensation to The Hirer.

The Company will take all reasonable care to avoid damage to The Hirer’s own equipment, but cannot be responsible for any loss suffered by The Hirer in respect thereof other than as a result of the negligence of The Company’s employees, agents or contractors.

The Company cannot accept responsibility for any booking where it is affected or prevented by reason of circumstances that amount to force majeure. This being any event that Country & Garden Tent Hire could not, even with due care, have foreseen or avoided. Such circumstances include: war, threat of war, civil strife, industrial action, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, foot and mouth disease and all other similar events outside of our control.

Complaints

In the event that you have any complaint, please contact us immediately so that we can resolve any problem. We will make every reasonable effort to resolve the issue as soon as possible.

 

I acknowledge that my damage deposit of £100 will be returned within 3 days of returning the tent, providing that nothing is damaged, ripped or broken.

Subject to these Terms and Conditions, The Hirer shall wholly indemnify Country & Garden Tent Hire in respect of all claims from any source at any time, where any injury or death to persons, damage to property, or loss or damage is caused by, or arises out of, the misuse of equipment by any person other than Country & Garden Tent Hire or their employees.
